Position Summary:
The Marketing Sample Assistant is responsible for the intake, validation, and reconciliation of all incoming product samples to the Brooklyn Studio. This role ensures that every shipment received aligns with the most current TOP (Top of Production) & SMS trackers, confirming accuracy before samples move into the studio workflow.
Sitting on-site within the studio, this position acts as a liaison between Supply,Merch Operations, and Studio Operations, ensuring end-to-end visibility of all sample deliveries. The ideal candidate is exceptionally detail-oriented, proficient in Excel & Power BI, and confident in communicating with suppliers and cross-functional partners to resolve discrepancies quickly.
Primary Responsibilities/Accountabilities of the Job:
Sample Intake & Verification

Receive and check in all incoming boxes delivered to the Brooklyn Studio.

Open, scan, and log each individual sample from every box to verify receipt.

Run each shipment against the active TOP Tracker and/or SMS Tracker to ensure all expected SKUs are present.

Identify and document any missing, incorrect, or duplicate samples before passing the box to the sample room.
Cross-Functional Coordination
-
Maintain an open line of communication with suppliers and Supply teams to report missing or incomplete deliveries in real time.

Partner with the Sample Manager to ensure accurate sample records before items move into studio workflows.

Work closely with Studio and Merch teams to provide timely updates on sample status and delivery issues.

Work closely with Sample Analyst to forecast workflow requirements.

Ability to work with cross functional teams and prioritize work independently.
Tracking & Reporting

Maintain a detailed Excel tracker of all samples received daily, including shipment details, SKU verification status, and exceptions.

Run weekly reconciliation reports comparing samples received versus samples forecast by Supply.

Flag all outstanding or missing SKUs for review and escalation to Supply and Merch Operations.

Support the Sample Manager with summary reporting to ensure full transparency of inbound sample flow.
Studio Support

Ensure samples are physically organized and correctly routed to the sample room upon completion of intake checks.

Maintain a clean, organized intake area and coordinate with Facilities for shipment disposal or storage as needed.

Provide back-up support during high-volume periods or seasonal peaks to maintain continuous sample flow.
Qualifications & Experience
Experience:
-
2+ years of experience in sample management, merchandising operations, supply chain, or studio coordination.

Proficiency in Excel & Power BI (VLOOKUPs, pivot tables, data validation, and basic formulas).

Strong attention to detail and accuracy in tracking high SKU volumes.

Excellent communication and follow-up skills with internal and external partners.

Ability to prioritize and problem-solve in a fast-paced studio environment.

Familiarity with PLM systems and/or Creative Force preferred.
Knowledge/Skills Required:

Pay Range:$76,300---$103,100
PVH currently provides base salary ranges for all positions-on job advertisements-in the United States based on local requirements. These ranges are based on what PVH reasonably believes that it will pay an associate for their base salary for said position at the time of the posting. Individual compensation will ultimately be determined based on a variety of relevant factors including but-not limited to qualifications, geographic location and other relevant skills.
