Job Title: Operations Assistant (Scheduling & Backoffice Support)

Job Summary

The Operations Assistant supports Scheduling/Dispatch, Review & Closeout (IFS/Back Office), and SLA Management activities to ensure timely service execution and accurate work order closure. This role operates in a 24×7 rotational shift environment and requires strong coordination, attention to detail, audit mindset, and strict process adherence.

The position plays a critical role in maintaining SLA compliance, managing delays, supporting technicians and internal teams, and providing operational visibility to stakeholders.

Key Responsibilities

  • Schedule, prioritize, and dispatch work orders based on SLA commitments and operational requirements.

  • Coordinate with field technicians, project managers, and internal teams to ensure timely execution of work orders.

  • Review completed work orders for accuracy, completeness, and documentation compliance.

  • Validate required documents and follow up with relevant teams for missing or incorrect information.

  • Update and maintain work order statuses, delays, and closures in internal systems within defined timelines.

  • Create, apply, and monitor Delay actions to start/stop SLA clocks when required, ensuring SLA adherence.

  • Audit task execution and investigate root causes of delays or bottlenecks.

  • Prepare audit findings, reports, and operational updates highlighting risks, inefficiencies, and improvement opportunities.

  • Maintain accurate records and ensure smooth shift handovers with clear documentation.

  • Provide feedback to senior management on recurring issues, process gaps, and resource needs.

  • Support customer service queries related to scheduling, delays, and work order status when required.

Skills & Requirements

  • Strong attention to detail and follow-through skills.

  • Good communication and coordination skills (verbal and written).

  • Ability to multitask in a fast-paced, 24×7 operational environment.

  • Strong problem-solving and analytical mindset.

  • Comfortable asking questions and seeking clarification when required.

  • Strong team player with a customer-focused approach.

  • Working knowledge of MS Office tools (Excel, Word, Outlook).

  • Ability to work night shifts, weekends, and rotational schedules as needed.

Education & Experience

  • Graduate (non-technical background).

  • Freshers or candidates with relevant experience in operations, scheduling, dispatch, Backoffice, audits, SLA management, or customer support can apply.

  • Experience in EV, utilities, field services, or operations support is a plus but not mandatory.
