Job Description

We are seeking a Customer Service Representative to join our team in the Czech Republic. In this critical role, you will be at the heart of our supply chain, ensuring efficient order processing and managing customer communications.

What You'll Do:

You will be responsible for a wide range of activities that underpin our commitment to timely deliveries and customer satisfaction. Your main responsibilities will include:

  • End-to-End Order Management: Oversee the entire order lifecycle, from customer receipt to final invoice, ensuring correct product allocation and accurate billing.
  • Collaborate closely with our MBS team and demand planning to verify product availability and proactively manage potential non-deliveries.
  • Keep customers informed about their orders, proactively communicating any status updates or changes.
  • Prepare and issue essential delivery notes to our wholesale partners.
  • Credit Notes & Returns Processing: Manage the full process for credit notes and returns, meticulously gathering all necessary documentation for customer claims.
  • Serve as a key point of contact, communicating effectively with customers, our sales department, and distribution centers to resolve issues swiftly.
  • Prepare and issue credit notes, ensuring all background papers are accurately processed.
  • Strategic Communication & Coordination: Act as the primary contact point for customers regarding all deliveries, claims, and invoiced prices, covering all supply chain areas.
  • Maintain strong communication lines with our sales force, particularly concerning orders for wholesale customers and credit notes.
  • Liaise with our 3PL (Third-Party Logistics) providers to ensure smooth logistics operations and address any delivery-related issues.
  • Reporting & Analysis: Generate and distribute daily reports on non-deliveries to our 3PL and sales department, enabling quick action.
  • Monitor credit notes and analyze their underlying reasons to identify trends and areas for continuous improvement.
  • Process Optimization & Improvement: Proactively review existing ordering processes to identify and eliminate complexities within our systems.
  • Make data-driven recommendations to management for process enhancements, driving greater efficiency and accuracy.
  • Evaluate the credit note process to identify and implement improvements, ensuring streamlined operations.

What You'll Bring:

  • Education: A university degree is preferred.

  • Language Proficiency: Fluent in English and either Czech or Slovak (both written and spoken) is essential.

  • Experience: App. 3 years within similar role

  • Operational Excellence: A strong commitment to accuracy and detail in all tasks, from order processing to document management.
