We are the Windows Servicing and Delivery (WSD) Organization, and our core mission is to keep customers protected and productive by delivering seamless, timely updates across existing and future versions of Windows. This work involves solving deep technical challenges in the Windows operating system and building mission-critical services and infrastructure that power the delivery of updates and innovations to billions of devices worldwide. Beyond updates, we also empower commercial and enterprise customers with products and solutions to deploy and secure their devices effectively.
Our team and charter are expanding rapidly, and we are looking for a seasoned and passionate Business Administrator to support our leadership and expanding organization. This role involves managing complex calendars for senior leaders, supporting international teams, and handling a wide range of tasks in a dynamic, fast-paced environment.
The ideal candidate will have exceptional attention to detail, proactively anticipate needs, and adapt quickly to shifting priorities. They should be self-motivated, self-aware, and possess a strong sense of responsibility. Success in this role requires initiative, flexibility, and a strong desire to influence and impact day-to-day business operations for a high-performing team.

- Responsibilities- Proactively manage the leader’s calendar with accuracy, timeliness, and conflict resolution aligned to priorities.
- Plan and coordinate domestic and international travel itineraries.
- Provide end-to-end support for executives, including schedules, travel, and expense management.
- Organize and facilitate team events, off-sites, and logistics.
- Serve as the single point of contact for administrative tasks such as purchase orders, expense verification, and procurement of gifts or awards.
- Partner with business administrators on T&E budgets, onboarding/offboarding, and workforce planning.
- Manage headcount tracking, vendor accounts, distribution lists, and security groups.
- Ensure timely and accurate expense reconciliation in compliance with company policies.
- Maintain confidentiality of manager and group information.
- Coordinate team rhythms such as all-hands, town halls, AMAs, and technical reviews.
- Manage budgets, procurement, and vendor relationships while collaborating with RE&F, HR, and Finance.
- Identify and implement solutions for operational and process improvements.
- Ensure new hires are fully set up on day one, including access, hardware, IDs, and relocation logistics.
- Maintain org charts, distribution lists, and reporting structures.
- Track and manage physical assets, procurement, and disbursement per policy and budget.
- Build strong relationships across diverse stakeholder groups and the business support community.
- Influence and embrace cross-functional and multicultural teams.
- Ensure compliance with Microsoft and team policies and procedures.
Qualifications Required Qualifications:
- High School Diploma, General Educational Development (GED), or equivalent AND 6 months Administrative, Business Support, and/or customer service experience.
- A great attitude and positive approach to people and tasks
- Effective written and verbal communication skills, including teamwork, facilitation, and negotiation.
- Experience managing executive visits, team events, budgeting, vendor management, procurement and asset management.
- Maintain the confidentiality of highly sensitive material with tact and professionalism.
- Ability to react with appropriate urgency to situations and requests.
- Strong attention to detail with strong problem-solving and troubleshooting skills.
- Strong organizational skills.
- Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organization.
- Able to solve complex problems when they occur.
- Proficiency with Microsoft software, including Microsoft Office and Outlook.
- Project management experience.
Preferred Requirements:
- Bachelor's Degree AND 4+ years of proven relevant work experience
