Qualifications
- Reporting to the DOM, Sleep, Circadian Disorders, and Respiratory Neurobiology division leadership, works strategically with BWH, Harvard Medical School and other officials to advance goals identified in the T32 Institutional Training Grant
- This position is responsible for effectively managing and coordinating the T32 Institutional Training Grant that supports pre- and/or postdoctoral fellows in basic, clinical, and behavioral research.
- Working with the DOM, Sleep, Circadian division’s Department Administrator, Senior Grant Administrator and Mass General Brigham (MGB) Research Management, the GC ensures consistent execution and adherence to guidelines for the successful management of the training research program. In year 1, this position is expected to learn the pre-award and post-award grant cycle, with mastery of functions by year 2-3.
- Oversees essential actions within the eRA Commons xTRAIN module, including 2271 forms, amendments, and terminations. Collects necessary data from past and current trainees and preceptors and entering it into the eRA Commons xTRACT module. This includes managing the annual progress report.
- Coordinates and mentors 8-10 post-doctoral trainees, 4-5 pre-doctoral students, and 3-5 URIM (Underrepresented in Medicine) employees. Tracks and audits trainee progress to ensure compliance with academic requirements.
- Manages the completion of competitive renewal applications, including:
- Preparation of in-depth tables tracking the success of all trainees supported over the prior decade, as assessed by their current academic positions, the success of their applications for grant funding, their publication records, and other pertinent data as required by the NIH—such as the grade-point averages of pre-doctoral trainees accepted and those not accepted into the training program.
- This requires extensive communication with and tracking of trainees over the prior decade.
- Coordinates the preparation of the text of the competitive renewal applications drafted by various faculty members and committees.
- Coordinates and facilitates the execution of contracts related to external trainees' stipends, tuition, and training-related expenses.
- Serves as the primary information resource for candidates, trainees, committee chairs, program preceptors, and the program director.
- Assists with the development and implementation of strategic initiatives to enhance program effectiveness. Coordination with committee members to review current results and recommend changes.
- Supports the ACGME-Accredited Clinical Sleep Medicine Fellowship program and works closely with the ACGME Sleep. Med. Director and Clinical Chief.
- Manages activities associated with the annual Clinical research MATCH process.
- Completes all required annual and biannual evaluations.
- Works closely with Division clinical leadership to develop the precepting schedule including facilitating weekly didactic sessions.
- Plans and facilitates all program committee meetings.
- Collaborates on the development of educational materials and curricula.
Education
High School Diploma or Equivalent required and Associate's Degree Related Field of Study preferred
Experience
Administrative or program support experience. 0-1 year required
Knowledge, Skills and Abilities
- Ability to prioritize, delegate, and manage multiple projects and responsibilities simultaneously.
- Basic financial/accounting skills.
- Strong oral and written communication skills.
