Accounts Payable Operations Lead

at MARS

Hybrid working (up to 50%)

Location: Warsaw (possible other location Egypt)

The primary goal of the AP Operations Lead role is to enable operational effectiveness by partnering with stakeholders and delivering strategic processes that ensure consistent, efficient, and standard service aligned with Mars Five Principles. This role leads the Accounts Payable functional performance, driving process improvements through automation and continuous enhancement. Acting as a business partner and copilot, the AP Operations Lead develops and maintains strong relationships with key stakeholders across Accounts Payable, business units, and third-party partners.

What will be your key responsibilities?

  • Oversee day-to-day I2P operations, including invoice processing, disbursements, exception handling, and helpdesk queries.

  • Act as a subject matter expert for I2P processes, providing guidance and support to business partners and outsourced teams.

  • Monitor and track key operational metrics, escalate issues, and propose solutions to ensure service levels are met.

  • Collaborate with local business units and cross-functional teams to resolve I2P-related queries and exceptions.

  • Support integration of I2P processes with upstream and downstream stakeholders to ensure smooth end-to-end process flow.

  • Facilitate regular communication with outsourced team members to align priorities and share process updates.

  • Analyze trends in I2P performance and provide actionable insights to drive improvements and address root causes.

  • Participate in regular reviews with key stakeholders to discuss performance, challenges, and improvement opportunities.

  • Support documentation and knowledge-sharing initiatives to ensure consistent application of best practices.

  • Identify and recommend opportunities for process standardization, automation, and efficiency gains within I2P operations.

What are we looking for?

  • University degree in Finance, Accounting, Business, or related fields.

  • Minimum 5 years of proven Finance Operations experience with a focus on Accounts Payable, preferably in a global or regional shared services environment.

  • English language proficiency.

  • Professional certification (e.g., CPA, CMA, Six Sigma) is a plus.

  • Working knowledge of SAP and related AP tools; experience supporting system upgrades/implementations (e.g., S/4HANA) is a plus.

  • Understanding of process improvement concepts and willingness to support standardization and efficiency initiatives.

  • Strong organizational skills with the ability to manage daily tasks, prioritize effectively, and meet deadlines in a fast-paced environment.

  • Good communication and interpersonal skills for effective collaboration with internal teams, stakeholders, and external partners.

  • Awareness of internal controls and compliance requirements within finance operations.

  • Ability to work in a multicultural, cross-functional team environment.

  • Familiarity with digital tools and basic analytics for monitoring and reporting on operational performance.

  • Proactive problem-solving skills and attention to detail.

  • Continuous learning mindset, open to upskilling and adapting to new technologies and processes.
