As a Senior Executive Assistant within our Global Payments team, you will be instrumental in managing complex scheduling tasks, organizing travel arrangements, and supervising administrative operations. Your adeptness at handling sensitive information with confidentiality and your robust work ethic will be vital to your success. You will collaborate closely with business management and key stakeholders, becoming an integral part of the business and gaining insight into group priorities. Your role will be crucial in ensuring adherence to Firmwide policies while maintaining a focus on business and client deliverables.
Job responsibilities
- Provide high-level administrative support, including advanced calendar management, scheduling internal and external meetings, conference calls, and organizing events such as off-sites and skip-level meetings.
- Coordinate travel and entertainment arrangements, ensuring compliance with firmwide policies.
- Manage expense processing, collaborating with relevant teams to ensure accuracy and timely submission.
- Work closely with business management and key stakeholders across various lines of business.
- Maintain accurate records and reports using internal systems.
- Handle general administrative duties, such as managing distribution lists and technology resources.
- Develop a thorough understanding of group priorities and business expectations.
- Collaborate with other assistants to provide coverage and support as needed.
- Assist with PowerPoint presentations, projects, and training activities.
Required qualifications, capabilities, and skills
- Previous experience as an executive assistant or secretary, ideally at a senior level.
- Fluency in both German and English; outstanding written and verbal communication skills.
- Strong interpersonal skills and the ability to build professional relationships; team player with a solution-oriented mindset and potential to serve as a role model.
- Excellent judgment in managing competing priorities and diary management; effective time management and scheduling skills.
- Proactive approach, demonstrating initiative and ownership.
- High level of technical proficiency.
- Experience with expense systems and cost control.
- Ability to remain calm and professional under pressure.
- Flexibility and adaptability to change.
- Strong attention to detail and commitment to delivering high-quality work.
- Quick understanding of investment banking culture and organizational dynamics.
