About the Client

Our client includes Semi-conductor Industry in Tokyo and other region.

Key Tasks & Responsibilities

Overall Role

Responsible to provide good working environment to client including helpdesk, mail room service, financial tasks & vendor management at the office onsite located in Tokyo.

Client Communications

  • Build relationships with client

Helpdesk

  • Walk in inquires

Finance related task

  • Invoice process, tracking

Security Management

  • Manage Security card (inventory, new request and other related)

Mail & Courier

  • Mail pick up and deliver

  • Receive and help shipping via courier

Workspace Management

  • Meeting rooms to be clean & tidy

  • Meeting room reservation management

  • Workspace inspection & improvement

Planned & Preventive maintenance

  • Coordinate, support & arrange PPM run by LL, receive & check report

Manager support

  • Conduct tasks assigned by Manager

  • Back up Manger when on leave

Vendor management including Landlord

Fixed asset inventory

Car lease management

BCP equipment inventory / management

Knowledge and Skills Required

  • 2 years' experience in GA or building services or facilities management / related work

  • Business level of Japanese, verbal and written

  • Daily conversation in English

  • Proficiency with Microsoft Word, Excel and PowerPoint.

Competencies

  • Ability to achieve efficient operations through time and task management skills and motivated work execution capabilities.

  • Excellent administrative and organizational skills with focus on accuracy

  • Flexible mind and correspondence.

  • Able to see things from the client’s standpoint, listen and observe to anticipate client’s needs.

  • Who can value teamwork.

ファシリティコーディネーターの役割は、LFMと協力してクライアントにとってよい職場環境を提供することです。クライアント先に常駐し、総務部門の業務を行っていただきます。ファイナンス関連やベンダー管理も業務の一環となります。クライアント社員の声を聞き、改善に取り組むことも大切な業務です。

主な業務

クライアントとのコミュニケーション

  • 顧客との良好な関係構築

ヘルプデスク業務

  • カウンターにてリクエスト対応

セキュリティ管理

  • セキュリティカード管理(在庫管理・棚卸、新規申請および関連業務)

郵便・宅配便業務

  • 郵便受領・仕分け・配布

  • 宅配便の受領および発送サポート

ワークスペース管理

  • 会議室の整理整頓・点検

  • 会議室予約の管理

  • ワークスペースの点検・管理

計画的保全

  • ビル管理業者が実施する点検の調整、立会い、手配、報告書の確認

LFMのサポート

  • LFMより指示された業務の遂行

  • LFM不在時のバックアップ

ベンダー管理(ビル管理業者含む)

固定資産棚卸

車両リース管理

防災備蓄品管理

財務関連業務

必要な知識・スキル

  • 総務もしくはビルサービス/ファシリティマネジメントにて2年程度の経験

  • ビジネスレベルの日本語

  • 日常会話レベルの英語

その他要件

  • 優れたコミュニケーション能力(文書・口頭)および対人スキル

  • 正確な事務処理能力

  • 時間・タスク管理能力と向上心を持った業務遂行能力により、効率的な運営ができること

  • 柔軟な思考・対応ができること

  • 顧客の立場に立って物事を考え、顧客のニーズを予測するための傾聴・観察能力
