Adjoint(e) administratif(ive) – JLL

Ce que ce poste implique : En tant qu'Adjoint(e) administratif(ive), vous fournirez un soutien administratif essentiel à l'équipe de la propriété tout en servant de liaison clé pour les communications internes et externes. Ce rôle est intégral afin d'assurer le bon déroulement des opérations quotidiennes, soutenir les initiatives stratégiques et maintenir les hauts standards de service qui définissent l'engagement de JLL envers l'excellence. Vous travaillerez étroitement avec la direction pour coordonner des projets complexes, gérer la documentation critique et faciliter une communication fluide entre de multiples intervenants dans un environnement immobilier commercial dynamique.

À quoi ressemblera votre quotidien :

  • Assurer le soutien et le suivi des projets de la directrice incluant la planification d'agenda, préparation des budgets et initiatives de planification stratégique

  • Naviguer dans les systèmes de gestion immobilière (Yardi, Pay Scan, VCard) pour maintenir les informations des locataires et la documentation des baux

  • Coordonner le renouvellement des certificats d'assurance des locataires et mettre à jour les systèmes pour assurer la conformité

  • Gérer les systèmes de documents virtuels et physiques incluant le classement, l'archivage et le maintien de structures organisées

  • Préparer, traduire et réviser les documents d'affaires en français et en anglais pour divers intervenants

  • Effectuer le suivi du statut des ententes de location et coordonner avec les locataires pour la validation d'informations

  • Gérer les tâches administratives incluant les services de courrier, commandes de fournitures et correspondance

Qualifications requises :

  • DEC en secrétariat, technique en bureautique ou domaine connexe

  • Minimum de 3 à 5 ans d'expérience en soutien administratif ou administration de gestion immobilière

  • Bilinguisme en français et anglais parlé et écrit avec de solides compétences rédactionnelles

  • Maîtrise de la suite MS Office (Word, Excel) et Office 365

  • Capacité démontrée de travailler sous pression et respecter des échéanciers serrés

  • Fortes compétences organisationnelles et de priorisation avec attention au détail et précision

  • Capacité prouvée de mener plusieurs tâches efficacement dans des environnements dynamiques

Qualifications préférées :

  • Expérience avec les systèmes de gestion immobilière (Yardi, Pay Scan, VCard)

  • Connaissance des opérations immobilières commerciales et administration des baux

  • Expérience de soutien à la direction dans les activités de planification stratégique

  • Familiarité avec les relations locataires et communication avec intervenants externes

  • Expérience de coordination de projets en environnements corporatifs

  • Expérience avec la traduction de documents et correspondance bilingue

Interactions orales et/ou écrites avec des locataires ou partenaires externes basés à l’extérieur du Québec (par exemple, fournisseurs de services, cabinets d’avocats, pairs, banquiers, firmes de courtage, firmes d’analyse de crédit, agences de crédits, clientèle non-francophone, etc.)

Administrative Assistant – JLL

What this job involves: As an Administrative Assistant, you will provide essential administrative support to the property team while serving as a key liaison for internal and external communications. This role is integral to ensuring smooth daily operations, supporting strategic initiatives, and maintaining the high standards of service that define JLL's commitment to excellence. You will work closely with senior management to coordinate complex projects, manage critical documentation, and facilitate seamless communication across multiple stakeholders in a fast-paced commercial real estate environment.

What your day-to-day will look like:

  • Support and monitor the General Manager's projects including scheduling, budgeting, action plan creation, and strategic planning initiatives

  • Navigate property management systems (Yardi, Pay Scan, VCard) to maintain accurate tenant information and lease documentation

  • Coordinate tenant insurance certificate renewals and update systems to ensure compliance and current records

  • Manage digital and physical document systems including filing, archiving, and maintaining organized folder structures

  • Prepare, translate, and proofread business documents in both French and English for various stakeholders

  • Follow up on lease agreement statuses and coordinate with tenants and head offices for information validation

  • Handle administrative tasks including courier services, office supply ordering, and correspondence management

Required Qualifications:

  • College diploma (DCS) in secretarial studies, office automation, or related field

  • Minimum 3-5 years of experience in administrative support or property management administration

  • Fluency in written and spoken French and English with strong business writing skills

  • Proficiency in Microsoft Office suite (Word, Excel) and Office 365 platforms

  • Demonstrated ability to work under pressure and meet tight deadlines consistently

  • Strong organizational and prioritization skills with attention to detail and accuracy

  • Proven ability to multitask effectively in fast-paced environments

Preferred Qualifications:

  • Experience with property management systems (Yardi, Pay Scan, VCard)

  • Knowledge of commercial real estate operations and lease administration

  • Experience supporting senior management in strategic planning activities

  • Familiarity with tenant relations and external stakeholder communication

  • Project coordination experience in corporate environments

  • Experience with document translation and bilingual correspondence

Oral and/or written interactions with tenants or external partners based outside Quebec (for example, service providers, law firms, peers, bankers, brokerage firms, credit analysis firms, credit agencies, non-French-speaking clients, etc.)
