What this job involves:

The Facilities Management Team (FMT) at one of our prominent insurance clients in Cambridge is hiring a Mailroom Clerk. In this role, you will be the hub that keeps everything moving smoothly in this fast-paced insurance environment. It combines traditional mailroom duties with modern digital workflows as well as supporting reception and the broader facilities team as needed. The ideal candidate brings some mailroom experience along with exceptional customer service skills. What your day-to-day will look like:

  • Process and distribute all incoming mail, client materials, checks, and regulated correspondence

  • Execute specialized printing and mailing for checks, refund notices, and registered letters

  • Coordinate same-day courier deliveries and equipment logistics for staff transitions

  • Scan, digitize, and index documents to support automated workflows

  • Provide backup reception coverage and welcome visitors professionally

  • Support Facilities team with room setups, inventory, and vendor coordination

  • Maintain secure handling of sensitive documents per compliance standards

  • Assist with departmental projects and continuous improvement initiatives

Required Qualifications:

  • 1-3 years experience in mailroom, office services, or administrative roles

  • High school diploma or equivalent

  • Proficiency with Microsoft Office suite (Outlook, Teams, Excel, Word, PowerPoint)

  • Strong attention to detail and organizational skills

  • Ability to handle confidential information

  • Comfortable operating office equipment (printers, scanners, mail machines)

  • Physical ability to lift up to 50 lbs and move frequently between departments

Preferred Qualifications:

  • Insurance or financial services experience

  • Experience with workflow systems like Guidewire Claim Center/Policy Center • Customer service background

Estimated compensation for this position:

50,000.00 – 58,000.00 CAD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
