Role Overview: The Supervisor, Corporate Travel & Meetings/Events is responsible for leading and managing a team of associates across multiple locations, ensuring the delivery of high-touch travel booking and meeting/event project services. This role combines operational oversight, staff development, and hands-on expertise in travel and event management. The Supervisor will drive process excellence, compliance, and innovation, while fostering a collaborative and customer-focused environment.

  • Key Responsibilities:

Team Leadership & Resource Management:

  • Supervise, support and develop associates responsible for travel booking and meeting/event projects in multiple locations.

  • Plan, assign, and direct work; appraise performance and guide professional development.

  • Address employee issues, resolve problems in accordance with company policies.

  • Train and onboard new team members, ensuring consistent service standards.

  • Travel & Event Operations

  • Oversee global travel arrangements, including flights, accommodations, ground transportation, and travel itineraries.

  • Ensure seamless planning and execution of corporate meetings and events, from venue sourcing to logistics.

  • Support associates in structuring travel itineraries, restaurant bookings, curated experiences, and activities.

  • Ensure all bookings and event plans comply with company policies, financial guidelines, and pharmaceutical regulations.

  • Vendor & Stakeholder Coordination

  • Negotiate contracts with suppliers and venues to maximize savings and minimize cancellation risks.

  • Lead coordination with internal and external stakeholders, including Purchasing, suppliers, and clients.

  • Collaborate cross-functionally to facilitate approvals, payments, and project execution.

  • Compliance, Reporting & Continuous Improvement

  • Ensure compliance with industry standards, company policies, and relevant regulations.

  • Track and report on sourcing metrics, cost savings, travel/event spend, and vendor performance.

  • Evaluate and implement new services, technologies, and process improvements.

  • Stay updated on industry trends, new venue openings, and emerging markets.

  • Customer Service & Problem Solving

  • Deliver exceptional customer service and support to clients and internal stakeholders.

  • Demonstrate initiative in solving challenges and overcoming operational obstacles.

  • Efficiently manage travel/event-related issues, including rebooking, cancellations, and emergencies.

Qualifications & Skills:Required:

  • Minimum of 5 years’ experience in corporate travel management, event planning, or concierge services, including at least 2 years in a supervisory or team lead role.
  • Advanced proficiency in English
  • Strong project management, organizational, and communication skills.
  • Experience with travel booking tools (GDS platforms: Sabre, Amadeus, Travelport/Galileo; Concur) and event management platforms (Cvent).
  • Ability to simultaneously handle multiple priorities and influence internal/external constituents.
  • Demonstrated problem-solving skills and ability to adapt to changing business needs.

Preferred:

  • Experience in pharmaceutical or medical event planning and compliance.
  • Background in VIP/concierge services.
  • Familiarity with financial tracking, reporting, and budget management.
