Job Description – Legal Assistant
Overview
The Legal Assistant serves as a primary resource for contractual questions and issues for both internal and external customers. This role acts as a Team Lead for assigned customers, with a strong focus on ensuring customer satisfaction throughout IQVIA’s contracting process. Responsibilities include drafting, revising, and finalizing contracts, maintaining contract documentation, and supporting cross‑functional teams to ensure timely delivery of high‑quality contract outputs.
Key Responsibilities
Contract Development & Management
- Draft initial versions of contracts, revise contract language, and prepare execution-ready copies.
- Review agreements and prepare revisions for various IQVIA contract types.
- Track contract status in internal databases, establish and maintain comprehensive contract files, and prepare customer correspondence.
- Prepare summaries of executed Master Service Agreements (MSAs) and Amendments and distribute them as required.
- Produce monthly reports tracking MSAs nearing expiration (within 180 days) and review contract provisions for adherence to current standards.
- Conduct legal research and perform additional duties as assigned.
Customer & Team Support
- Act as Team Lead for assigned customers, serving as the primary point of contact and subject matter expert for contractual questions.
- Conduct written and verbal follow-up with customers after delivery of draft or signature-ready contracts.
- Support Sales teams in customer communications; provide expertise on contract terms and processes.
- Participate as a member of the dedicated Legal Negotiation Team to ensure consistency in negotiation approach, metrics, and documentation.
Cross-Functional Collaboration
- Partner with Global Contracts, Global Market Development, Finance, and IQVIA Operations teams to understand project requirements and determine implications for contract terms and conditions.
- Identify areas where attorney support is required for complex or heavily negotiated terms.
- Ensure the timely delivery of final contracts, working independently or collaboratively depending on project needs.
- Participate in regional and departmental meetings, sharing updates and disseminating relevant information.
Process Improvement & Compliance
- Track work progress, secure required reviews and approvals, and follow established processes and guidelines.
- Support the development of departmental procedures aimed at improving contract delivery timelines.
- Contribute to activities aligned with corporate goals, including sales, revenue, and customer satisfaction objectives.
- Attend and actively participate in team meetings.
Qualifications
Education & Experience
- Bachelor’s Degree – Required
- Paralegal certificate from an accredited institution – Required
- Minimum of 2 years of paralegal experience, or an equivalent combination of education, training, and experience – Required
Skills & Competencies
- Thorough knowledge of IQVIA’s standard contract terms, conditions, and fallback language.
- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and any experience with regards to Salesforce administration is welcomed.
- Exceptional attention to detail, organizational abilities, and analytical skills.
- Excellent proofreading, editing, written, and verbal communication skills.
- Ability to appropriately handle confidential information.
- Strong capability to work independently as well as within a team environment.
- Ability to manage and prioritize multiple tasks while meeting established deadlines.
- Ability to interpret, review, and explain contract terms to customers.
- Demonstrated ability to build and maintain effective working relationships with colleagues, managers, and clients.
