IQVIA’s Speaker Bureau and Strategic Meetings & Events team consists of dedicated meeting professionals who plan, manage, and execute highly engaging, yet compliant, events for Life Sciences organizations. We work with our clients to deliver a high-quality attendee experience through a range of in-person, hybrid, and virtual meetings by seamlessly pairing deep industry expertise, best-in-class compliance technology and an innovative, scalable approach to support our client’s Speaker Bureau. The Virtual Moderator is the main point of contact to ensure successful and compliant technical execution of virtual and hybrid component of the client’s programs.
- Essential Functions
- Conduct pre-program technical call with both speaker and program host.
- Conduct in depth technical dry run call for newer speakers and/or large-scale programs to ensure all are clear and comfortable with virtual platform navigation, technology and internet connectivity tests are performed, roles and responsibilities are explained, and program flow reviewed.
- Provide technical support to speaker, host and attendees during the virtual event which includes platform management and troubleshooting real-time issues that arise, always being mindful of ensuring successful and timely event execution.
- Ensures that the client representative and speaker understands their role in the program and sets clear directions for the program cadence.
- Isolate extreme troubleshooting issues so individual attendee issues are not disruptive to the speaker and larger group of attendees.
- Facilitate program opening, closing and Q&A as previously agreed upon with program host and in accordance with client business rules and checklist.
- Moderate programs according to each client’s requirements and be aware of occurrences that may put a program out-of-compliance.
- Participate in client training to support specific client program requirements.
- Partner with meeting planner and program host for post-event attendee reporting
- Liaise with relevant internal and external stakeholders to ensure appropriate team members have the most up to date information.
- Ensures program compliance by adhering to each client’s moderator checklist.
- Proven ability to recognize and prevent incidences that would put a program out-of-compliance.
- Willingness to execute one of the following support functions: Scheduling, Training, Document Control or Scheduling QC.
Qualifications:
- 2 years of meeting planning and/or virtual meeting planning experience.
- Proficiency in virtual technology platforms including Zoom, Microsoft Teams, Adobe, and Cisco Webex.
- Familiarity with various AV equipment and how they are used to support virtual programs.
- Proficiency in Microsoft Office suite of products (Word, Excel, PowerPoint, Teams) and Outlook required.
- Life Sciences experience a plus
- Knowledge in Share Point, Salesforce and Smartsheet preferred.
- Willingness to work flexible schedules and/or extended hours to meet clients’ business needs of virtual events.
- Comfortable working in a fast-paced team environment, while also able to work independently.
- Exceptional customer service skills and strong ability to make decisions, problem solve and remain calm during technology issues.
- A strong sense of urgency and the ability to effectively problem solve, especially in high pressure situations that require AV technical support.
- Highly organized with an attention to detail. Ability to maintain up-to-date documentation to ensure each client’s programs are conducted according to their specifications.
- Excellent oral and written communication skills with focus on the ability to be concise and clear, summarize a situation and articulate the necessary next steps, effectively listen, and assess the need for urgent action.
- Collaborate as an integral part of the project team to execute world class events as measured by internal and external client satisfaction.
