Position Overview:
We are seeking a dynamic, hands-on Manager for Travel and Expenses (T&E) to lead our team in managing the travel and expense processes. This role ensures compliance with company policies and optimizes the processing of travel and expense reports. Key responsibilities include directly driving strategy, governance, process improvements, for Intuitive’ s global travel and expense program. This role requires a forward-looking leader with deep expertise in corporate travel expense management, expense platforms, automation and supplier management. This role primarily focuses primarily on the US while also collaborating and supporting areas outside of the US if needed.
Key Responsibilities:
- Lead and develop a high-performing team of travel and expense professionals to ensure efficient and accurate report processing.
- Manage internal audits, compliance checks, and risk assessments related to T&E.
- Enforce company travel and expense policies, using a high degree of integrity, while utilizing systems like Concur and Appzen for process automation.
- Oversee timely processing of expense reports, ensuring prompt payments and precise financial reporting.
- Administer and enhance the T&E system (e.g., Concur), including managing user access and policy updates.
- Collaborate with various departments to resolve complex travel and expense report issues.
- Identify and implement process improvement opportunities to enhance policy enforcement directly in our systems, increase efficiency of processing, and reduce overall costs.
- Deliver training and support to employees on T&E policies, procedures, and system usage.
- Analyze T&E activity data, generating reports to provide insights into user compliance, and regularly present on compliance to leadership.
- Support negotiations and maintain relationships with travel software and credit card payment vendors.
- Partner with IT and Finance to integrate expense platforms with ERP, HR, and payment systems.
- Serve as an escalation point for complex T&E inquiries and exceptions. Make solid recommendations to Sr. leaders regarding resolution.
- Own communication plan for new employees, program updates by partnering with corporate communications when needed.
Qualifications and Skills:
- Exceptional analytical and problem-solving skills.
- Strong communication and interpersonal capabilities.
- Highly organized with attention to detail and the ability to manage multiple tasks.
- 5-7 years prior experience leading corporate travel/expense management for a multi-billion/multi-national corporation strongly preferred.
- Proven leadership skills with experience in team motivation.
- System development capabilities to set policies in the system, enhance system capabilities, and generate new system reporting.
- Strategic thinker with the ability to translate policy and program design into measurable business results.
Education and Experience:
- 10 years prior experience leading corporate travel/expense management for a multi-billion/multi-national corporation strongly preferred.
- Demonstrated success supporting and leading within a global Shared Services Organization.
- SAP experience required; experience with Concur and Appzen strongly preferred.
Language Requirement:
- Proficient in English (80%).
