The opportunity

We are searching for a Communications & Marketing Coordinator to help run the day-to-day engine of our newly combined Communications & Marketing organization. In this role, you'll sit within the business planning / chief of staff team and play a critical part in keeping the function organized and aligned - owning centralized calendars, supporting core processes and tools, and coordinating key moments like leadership meetings and APMs. The ideal candidate brings strong organizational and project-management skills, excellent attention to detail, and a collaborative, problem-solving mindset. You are proactive, comfortable working across levels and time zones, and excited to learn how the business operates - acting as a reliable hub for information, coordination, and follow-through across the broader team.

Key responsibilities

  • Support CCMO office and leadership team with scheduling, agendas, and follow-ups
  • Help maintain centralized org calendars and ensure key stakeholders are in the right rooms.
  • Maintain shared trackers, templates, and GM One / Share Point / Slack spaces for the combined org.
  • Help standardize and improve core processes (intake, decision logs, recaps, action tracking).
  • Maintain and update email DLs and Slack channels for Comms & Marketing.
  • Coordinate onboarding logistics: meeting invites, DLs, tools access, resources.
  • Partner with HR/admins on badges, workspace and basic setup for new hires and transfers.
  • Provide coordination and logistics for APMs, such as catering, transportation and room set up
  • Support tracking of T&E, invoices, and simple vendor/admin docs (in partnership with EAs and Finance).
  • Help with practical logistics for visiting leaders and teams (e.g., onsite agendas, room holds).
  • Assist with special projects (consultant visits, offsites, strategic workstreams) as needed.
  • Serve as backup support for the Executive Assistant team during PTO or peak periods.

Qualifications

  • 3+ years in communications, marketing, or events coordination (e.g., helping run town halls, newsletters, content calendars, launches, or engagement programs)
  • Experience as a team coordinator, communications coordinator, or executive/admin support role in a large, matrixed organization
  • Strong organizational and project-management skills - able to manage multiple calendars, timelines, and workstreams at once
  • Excellent written and verbal communication skills; able to draft clear internal notes
  • Comfortable working with cross-functional teams and building relationships at all levels
  • High attention to detail, sound judgment, and discretion when handling confidential information
  • Proficiency with Microsoft 365 (Outlook, Teams, PowerPoint, Excel, Share Point) and collaboration tools (e.g., Slack, Share Point/One Drive, GM One)
  • Proactive, solution-oriented mindset and willingness to learn the business and stretch into new projects
