Job Description: HVAC/R Projects Coordinator
Summary of Position:
The HVAC/R Projects Coordinator is responsible for coordinating designated CAPEX and HVAC/R Special Projects across Dollar Tree and Family Dollar. This role provides direct support to the Facilities team by managing HVAC replacements, refrigeration programs, and reactive work orders. The coordinator ensures projects are executed efficiently, accurately, and within budget, while maintaining strong communication with vendors, contractors, and internal partners.
Principal Duties and Responsibilities
- Coordinate and manage HVAC/R Special Projects, including refrigeration replacements, proactive HVAC unit replacements, and large-scale reactive work.
- Partner with Manager, Special Project Manager(s), and/or Director to resolve project challenges related to equipment, scheduling, or vendor performance.
- Communicate HVAC/R material and vendor issues promptly to leadership for resolution.
- Work with Special Project Managers to order, track, and communicate HVAC/R equipment requirements with vendors through SLM and Ariba.
- Maintain and file contractor lien waivers in compliance with company standards.
- Coordinate installation schedules with stores, partnering with Operations and vendors to minimize sales impact.
- Run and analyze reports for project tracking, HVAC/R equipment performance, vendor scorecards, and budgeting.
- Review and approve HVAC/R vendor invoices, ensuring alignment with approved quotes, contracts, and warranties.
- Support vendor management through consistent follow-up, performance tracking, and issue escalation.
Minimum Requirements/Qualifications
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong ability to prioritize and manage multiple HVAC/R projects in a fast-paced environment.
- Excellent organizational and time management skills, with the ability to track multiple sites and schedules.
- Strong written and verbal communication skills, with ability to provide clear direction to vendors and contractors.
- Effective interpersonal skills for collaborating with HVAC/R vendors, engineers, contractors, and internal teams.
Desired Qualifications
- Familiarity with HVAC/R systems, equipment life-cycle, and refrigeration best practices.
- Experience in facilities management, construction, or capital project coordination.
- Self-directed, innovative thinker with strong problem-solving skills and ability to anticipate project challenges.
