Job Description Summary
This position is responsible for, but not limited to: working closely with the Project Manager, Chief Engineer, C&W corporate personnel, customer personnel, and vendor/subcontractor personnel in performing day-to-day scheduling/dispatching, reporting, administrative duties, clerical functions, phone functions, procurement functions, time keeping, CMMS functions, record keeping, and filing.

ESSENTIAL JOB FUNCTIONS, DUTIES AND RESPONSIBILITIES
- Monday-Friday (8:00am-5:00pm).
- Must be able to work in a team-oriented, safety conscience environment. Safety expectations include, but are not limited to, compliance with all company and customer safety policies, guidelines, and procedures.
- Takes direction for day to day operational activities from the Project Manager and Chief Engineer.
- Receives phone calls and handles them appropriately.
- Must be able to effectively work alone or in groups with others at all levels of the customer and company organizations.
- Be the central point of contact for the government and building occupants to receive service requests.
- Tracks and assists in the resolution of tenant/GSA issues and follow up.
- Interacts with customers at the front desk.
- Work order and purchase order management.
- Coordinates and monitors all work requests.
- Use the government furnished CMMS to create, close, track and schedule service calls, preventative maintenance work orders, maintain equipment inventory records and run reports in adherence with contract requirements or as directed.
- Communicate to faculty, staff, tenants and vendors through a variety of channels.
- Provides administrative support to the Project Manager and other employees.
- Provides support for all business correspondences utilizing Word and Excel spreadsheet software – budget and financial monthly update reports.
- Establishes and maintains central records of business and personnel files.
- Develops and maintains a central library of all technical information required to perform tasks associated with this project.
- Supply order management for inventory, stock, materials and supplies as needed, utilizing multiple procurement processes, including but not limited to Procure+.
- Invoice and Pcard preparation and processing utilizing electronic accounting systems.
- Processes invoices and forms for day to day operations.
- Performs routine office functions such as ordering supplies, operating office machines and equipment.
- Maintains office equipment in working order, and maintains a neat and orderly work area, including closets, filing cabinets, and storage areas.
- Create, produce and distribute various weekly, monthly and on demand reports including but not limited to reports pertaining to productivity, unresolved issues, and quality programs utilizing information from the CMMS and other sources and Microsoft Office software – Word, Excel and Powerpoint.Cr
- Tracks labor for payroll and create weekly payroll reports.
- Must have strong computer skills including working knowledge of all Microsoft Office Suite products and CMMS programs.
- Maintain a high level of confidentiality regarding employee information and interactions.
- Employee will perform any and all other relevant duties assigned by the Project Manager and Chief Engineer.
- Position cannot make any decisions affecting employment (hire/termination), regulations and laws or company policy.

- Promote an atmosphere of trust and confidentiality with all employees to ensure all matters will be dealt with in a professional and confidential manner.
- Develop and maintain a good working relationship with the customer and maintain the customer’s confidence through effective communication, open rapport, and solid record of delivery on commitments.

- Work effectively with all levels of the organization by utilizing strong organizational, interpersonal, facilitator, and time management skills.

JOB QUALIFICATIONS
- Education: Must possess a high school degree or GED equivalent. College Degree preferred.
- Experience: Possess a minimum of five years demonstrated experience in clerical and administrative functions, preferably in a government contract work environment. Must have demonstrated proficiency with Microsoft Word, Excel, PowerPoint, e-mail and a CMMS program. Experience working with GSA NCMMS is desired, but not required.
- Clearance: Obtain and maintain an US Government Sensitive but Unclassified Security Clearance (HSPD-12).
PHYSICAL DEMANDS

- While performing the duties of this job, the employee is regularly required to stand and sit for long periods of time, and to climb flights of stairs. The wearing a surgical face mask or N-95 respirator may periodically be necessary when required by the job. A full range of body motion is required, including handling and lifting, manual and finger dexterity, and eye-hand coordination sufficient to operate computer and peripheral equipment. The employee is frequently required to stand, walk, stoop, kneel, crouch, and to talk and hear.
- The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to focus.

The company will not pay less than minimum wage for this role.
The compensation for the position is: $24.96 - $29.37
