Job Description

Assistant Building Manager

Sheffield

This role plays a key part in delivering high‑quality Facilities Management services across a diverse building portfolio. Working closely with internal teams and service partners, you will support day‑to‑day building operations, ensuring safety, compliance, efficiency, and an excellent occupier experience. The position requires strong operational oversight, commercial awareness, and the ability to build effective relationships while representing Cushman & Wakefield’s values and service standards.

Key Responsibilities:

  • Manage the day‑to‑day operational performance of buildings, ensuring efficient service delivery and strong occupier engagement.
  • Provide operational cover for the Estates Manager as required.
  • Oversee supply partners and manage scheduled, reactive, and emergency maintenance through the CAFM system, ensuring accurate records and SLA performance.
  • Act as the primary point of contact for occupiers, resolving FM‑related queries and escalating matters to the Estates Manager when necessary.
  • Support effective complaint handling, ensuring timely resolution and clear communication.
  • Assist with compliance activities, including statutory inspections, remedial works, risk assessments, and audit action tracking.
  • Promote safe working practices and ensure contractor compliance with Cushman & Wakefield policies and site rules.
  • Support financial management activities including raising POs, approving invoices, monitoring budgets, and assisting with service charge reporting and reconciliations.
  • Conduct regular property inspections and assist with insurance claims, incident reporting, and business continuity processes.
  • Monitor occupier activity to ensure adherence to lease terms, escalating breaches to the Estates Manager.
  • Maintain sustainability data and ensure accurate meter readings and reporting.
  • Lead by example, supporting colleagues and service partners through positive behaviours aligned with company values.

Skills & Experience:

  • Experience in Facilities Management, ideally across multi‑building portfolios.
  • Strong operational knowledge of CAFM systems (e.g., Meridian, E‑Logbooks).
  • Proven experience managing contractors, budgets, and performance‑based service models.
  • Confidence in handling financial data, cost control, and variance reporting.
  • Strong communication and relationship‑building skills, with the ability to resolve challenging situations.
  • Good understanding of building compliance, health & safety, and relevant legislation.
  • Ability to coach, support, and positively influence service partners and colleagues.
  • Highly organised, resilient, and able to manage multiple priorities.
  • Solution‑focused mindset with strong problem‑solving skills.
  • Proficient in Microsoft Office applications.
  • IWFM Level 3 (minimum) and IOSH Health & Safety qualification; professional membership (e.g., IWFM) desirable.
