Job Description Summary

To support the FM Client Finance Manager (CFM) and/or Assistant Client Finance Manager (ACFM) in managing all financial requirements of their contracts and assist in the reporting function to the internal and external Clients, including preparation of regular actual-plan variance analysis and provision of related commentary. Take full ownership of Accounts Payable and Receivable functions to ensure delivery and compliance with the terms of our contracts. Job-holder will be expected to demonstrate strong business partnering skills, reporting to several stakeholders with a natural attention to detail, ability to multi-task and be a fluent and confident communicator.

Job Description

Responsibilities of the job-holder:

· Act as the first-level reliable and trustworthy support to the CFM and/or ACFM, ensuring the smooth and error-free running of day-to-day FM financial operations, providing regular updates to CFM and/or ACFM and seeking counsel on urgent and/or complex issues.

· Maintain control over purchase order management and invoice processing together with vendor payment utilising Yardi platform and banking systems.

· Daily management of central mailboxes.

· Daily processing of invoices received via e-mail including scanning and attaching to POs.

· Ensure supplier invoices are correctly recorded and paid within the contract payment terms by regularly monitoring the Client supplier invoice tracking files.

· Timely and appropriate supplier query management.

· Regular reconciliation of all supplier statements.

· Ensure timely and accurate sales invoice creation (contract and reactive)

· Ensure timely recording of C&W management fee and labour cost invoices in Yardi in parallel to the proper recording of all charge and receipt batches.

· Allocate bank receipts from client into the Yardi and Work Day systems, maintaining an up-to-date accounts receivable report.

· Process promptly vendor payments in Yardi, upload to Banking portal and request approvals.

· Liaise with CFM and/or ACFM to resolve any operational/reporting issues with Yardi.

· Support CFM and/or ACFM in the preparation of month-end close accruals and journal entries (pass-through packs), and bank reconciliations.

· Prepare monthly client variance analysis reports and commentary with guidance and supervision of CFM and/or ACFM.

· Adhere to all C&W finance policies and processes; identify weaknesses and opportunities to improvements.

· Provide support to CFM and/or ACFM during any mobilisation or de-mobilisation of portfolio.

· Act as first point of contact for Client Finance Assistant (CFA), provide training, support, and guidance on C&W Accounts Payable and Accounts Receivable processes to new joiners as required.

· Understand the concept of month-end financial reports and forecasting.
