We’re growing fast, and we’re looking for a Facilities Coordinator to join our high‑performing team supporting one of our major government accounts, WoAG. This is an onsite role based in Canberra, offering the opportunity to build your career within a supportive, collaborative, and truly global organisation.

About the Role

Reporting to the Account Manager or Facilities Manager, the Facilities Coordinator is responsible for a portfolio of client properties—up to 250 sites depending on type and size. You’ll be the first point of contact for reactive maintenance, support the Facilities Manager with day‑to‑day operations, and ensure our client receives exceptional service across all facilities management activities.

Key Responsibilities

  • Manage an assigned portfolio of client properties and support the Facilities Manager as required.

  • Conduct comprehensive annual property inspections, including NABERS assessments.

  • Act as the initial and critical point of contact for all reactive maintenance, 24/7.

  • Manage and communicate critical incidents and recovery plans to stakeholders.

  • Maintain high‑quality facilities through diligent review of maintenance activities, audits, and vendor performance.

  • Attend team, partner, landlord, and stakeholder meetings with a strong “Service Excellence” mindset.

  • Monitor subcontractor performance to ensure SLA compliance and legislative requirements.

  • Maintain and manage asset lifecycle plans and ensure asset registers remain up to date.

  • Oversee contractor inductions and compliance documentation.

  • Build annual site budgets and support periodic reforecasts.

  • Monitor system transactions and documentation to ensure data integrity and KPI compliance.

  • Assist with internal and external audits, including spot checks.

  • Use technology to improve processes and performance.

  • Maintain accurate process documentation, databases, and filing systems.

  • Approve invoices and reconcile reactive maintenance invoices as required.

  • Support financial administration and reporting, including P&L statements.

  • Provide relief and support to peers when needed.

  • Represent the business professionally at meetings, conferences, and official events.

  • Comply with all WHS and environmental policies and operate in a way that minimises environmental impact.

  • Prepare detailed business cases for approval when required.

  • Build strong working relationships with internal shared services and the Property Services Centre.

  • Contribute to a positive “one team” culture.

  • Ensure effective management of work orders within 30 days.

  • Perform any other duties reasonably required to fulfil the role.

  • Strong client focus and customer service mindset.

  • Proven ability to act on client instructions and deliver results.

  • Able to work independently and collaboratively across local and international teams.

  • Demonstrated ability to meet or exceed KPI targets.

Qualifications & Requirements

  • Australian Citizenship is mandatory.

  • Must currently hold or be willing to obtain security clearance.
