As a Facility Coordinator, you will be a key player in creating a safe, organized, and efficient work environment - every single day. Beyond overseeing the smooth operation of our buildings and services, you’ll act as a proactive partner to both our organization and our clients, helping everything run seamlessly. This is a maternity cover position, offered as a fixed term contract for the duration of the leave period.
We count on you in the following areas:
- Acting as a key communication link between the landlord, tenants, and service providers - ensuring that all procedures, policies, and reporting standards are clearly understood and consistently followed.
- Welcoming visitors and performing a full range of front‑desk tasks.
- Coordinating meeting room bookings and ensuring all installed equipment functions smoothly.
- Supporting your line manager with operational and financial reporting, including cost tracking.
- Reviewing data from work order reports to assess performance and monitor progress.
- Maintaining accurate records - including work orders, proposals, departmental files, and all vendor‑submitted documentation.
- Managing client compliance registers and ensuring adherence to statutory office requirements.
- Presenting information clearly to internal departments and larger groups of employees when needed.
- Identifying and resolving both routine and non‑routine issues within your area of responsibility, independently and proactively.
- Selecting the most suitable solutions from established options to support smooth daily operations.
- Making a positive impact on the team through the quality and accuracy of the services and information you provide.
- Following standardized procedures and best practices while working under regular, yet moderate, supervision and guidance.
What you’ll need:- At least secondary education (high school diploma or equivalent) or a relevant vocational qualification.
- Good command of English, both spoken and written.
- Experience in a similar position or working environment is an advantage.
- An established understanding of work routines and standards and applying skills and knowledge in a range of processes, procedures, and systems are required.
- A solid understanding of standard work routines and the ability to apply your knowledge across various processes, procedures, and systems.
- Strong problem‑solving skills, with the ability to review options and choose appropriate solutions independently.
- Clear and concise communication skills, including the ability to explain detailed or complex information to team members.
- Advanced proficiency in Microsoft Office applications (e.g., Word, Excel, Outlook).
- Excellent organizational skills combined with a proactive, curious mindset.
