About the Role:
As a MAC Coordinator, you will be responsible for ensuring that all occupancy, space management, and move and change activity services are delivered efficiently and effectively on behalf of a large or high-profile client. This role is integral to the Moves, Additions, and Changes (MAC) function, which oversees building space design, construction, and moving services.
What You’ll Do:
- Support the planning, coordination, and execution of furniture moves, reconfigurations, and projects across assigned buildings.
- Coordinate with clients, vendors, and internal teams to ensure moves are completed on time, within budget, and aligned with project requirements.
- Attend relocation coordination meetings, track project progress, and provide updates on scope, schedule, budget, and risks.
- Prepare, maintain, and distribute project documentation, including move plans, communication materials, and activity trackers.
- Manage CMMS tickets related to moves, furniture requests, storage requests, and workspace changes, ensuring timely updates, clear communication, and resolution.
- Support storage management, including tracking inventory, coordinating storage moves, maintaining organization, and ensuring accurate records of stored assets.
- Manage furniture inventory, including tracking assets, maintaining accurate records, and coordinating repairs, replacements, and warranty claims with vendors.
- Troubleshoot furniture issues and develop an understanding of furniture systems, components, and mechanical functions.
- Obtain vendor quotes and support financial tracking, invoice processing, and budget alignment for move, storage, and furniture projects.
- Develop and distribute move communications, including instructions, reminders, and welcome materials, to ensure a smooth employee experience.
- Provide post-move support, including onsite coordination, issue resolution, and follow-up to ensure successful project completion.
- Identify opportunities to improve space utilization, storage efficiency, furniture lifecycle management, and overall workplace functionality.
- Deliver excellent customer service by responding to requests, providing clear communication, and supporting client needs.
- Demonstrate a proactive, self-starter mindset and the ability to manage multiple priorities in a fast-paced environment.
- Maintain flexibility to support move activities outside of standard business hours, including occasional evenings or weekends.
- Apply innovative thinking to improve processes, enhance efficiency, and support continuous improvement.
- Ensure accurate and timely delivery of all assigned tasks.
What You’ll Need:
- Bachelor's Degree preferred with 2-5 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered.
- Understanding of existing procedures and standards to solve moderately complex problems.
- Ability to analyze possible solutions using technical experience to apply appropriate judgment and precedents.
- In-depth knowledge of Microsoft Office products (e.g., Word, Excel, Outlook).
- Strong organizational skills with an inquisitive mindset.
- Advanced math skills, including the ability to calculate percentages, fractions, and other financial-related figures.
