Facilities Coordinator is responsible for all building functions of the account, ensuring proper operation of ALL aspects of a building to create a clean, safe and cost-effective environment for the occupants. Collaborates with engineering team and FM team to set priorities, achieve KPIs and propose to the customer any potential improvement.

Facility Coordinator has to lead in country CBRE and 3rd Party teams.

Facility Coordinator has the responsibility to be security emergency contact and apply customer emergency plan when needed.

Facility Coordinator will be considered as FM Team face in country and should shows pro-activeness, critical view and people management skills.
QEHS responsibilities- Each employee has to perform their activity in accordance with their education, training and instructions received from their employer, so that to not expose to the peril of accident or professional sickness either their own person or other persons who might be affected by that employee’s actions or omissions during work.

  • To correctly use the equipment, dangerous substances, transport equipment and other production means.
  • Will not stop, modify, change or arbitrarily remove their own safety measures, especially in relation with machinery, equipment, tools, technical installations and building, and will correctly use these safety measures.
  • Will immediately communicate to their employer or designated employees any work situation about which there are provable reasons of concern related to work safety and security, and any deficiency of the safety systems.
  • Will bring to the attention of the site manager / employer the accidents suffered by their own person.
  • Will collaborate with the employer or the designated employees, as long as it is necessary, to ensure the success of any measures or requests required by the Labour or Sanitary Inspectors, as relates to employees safety and health protection.
  • Will collaborate, as long as it is necessary, with the employer and/or the designated employees, to allow the employer to ensure that the work environment and work conditions are safe and without risk for safety and health, in their activity field.
  • To be knowledgeable and to follow the current safety and health legislation and the measures for its applicability.
  • To offer the information required by the Labour / Sanitary Inspectors.

Standards for the Facilities Organization (Operations & Maintenance)- Provide technical support / assistance, if required.

  • Participating in Development, implement and monitor best value practices.
  • Suggestions for the Development of customer service.
  • Programs, Procedures, Training, and Tools: FM Pulse Assessment Program Deliverables Monthly; KPI reports.
  • Manage – oversee the assessment of building systems’ condition.
  • Assess the condition of the facilities structure, interiors, exteriors, and grounds. Properly communication with the customer, even for out of scope topics.
  • Conduct facilities inspections. Issue corrective works as needed. Properly communication with the customer, even for out of scope topics.
  • Ensure engineering team completes the annual review of building equipment maintenance.
  • Ensure all corrective work orders assigned to the facilities are completed or re assigned to a vendor for completion.
  • Perform Monthly condition / inspection reports and surveys.
  • Work orders and requests based on findings.
  • Monitor and manage the deployment of services and action requests through the ticketing system.
  • Proactively ensure general office space is tidy and clean at any time.
  • Provide regular reporting of monthly operations activities.
  • Be the main point of contact of Building management.
  • Manage all building services (food services, cleaning, grounds maintenance, supply services, handyman, securiry), and identify new opportunities for scope increase under his management.
  • Complete vendor / contractor evaluation score for routine services.
  • Monitor maintenance contractor’s work.
  • Develop policies and guidelines related to usage and maintenance.
  • Be aware of contract services performance
  • Provide necessary documentation and certificates to audit processes.
  • Assist and organize coordinating with vendors for events, if required.
  • Assist during moves and shuffles organizing actions, if required.
  • Data is an essential part of your role. Integrity and confidentiality are important factors.

Quality of Services Provided.- Follow customer satisfaction and service delivery performance and provide feedback to customers.

  • Collect, verify, analyse and report Facilities management data from various sources (space plans, customer satisfaction, feedback mechanisms).
  • Collect and verify, analyse and report internal Facilities management data (utilities, work orders, work history).
  • Conduct assessment of third-party providers (suppliers, contractors, consultants).

Communication- Be the first contact point for local stakeholders, taking from them all required information needs to solve the request.

  • Act as site manager and office responsible in front of local customer.
  • Develop and implement a facilities management communication plan (messages, reminders).
  • Prepare reports for stakeholders.

Emergency preparedness & Business continuity- Implement Health, Safety and Environmental policies to contractors / vendors.

  • Ensure that building occupants are notified of possible building impacts.
  • Follow client guidelines for incident.
  • Report incidents.
  • Update risk management plan cooperating with contractor, if required.
  • Develop, update, and oversee business continuity plan.
  • Awareness of CBRE HSE policies.

Improvement of Work Processes.- Assess ways to improve workplace productivity.

  • Suggest and implement process improvements.

Finance- Review, approve and process vendor / contractor invoices for CBRE paid invoices.

  • Support preparation and management of operational budget within contract guidelines and financial procedures ensuring spend compliance.
  • Work with Finance to ensure an efficient and accurate report.
  • Provide CBRE monthly invoices to client.
  • Submit monthly financial results to CBRE account line manager and finance manager.
