Role Overview:This position is for a senior Administrative Support coordinator who is under moderate supervision. Solves moderately complex problems and assists lower-level staff in gathering, verifying and processing documentation. May assist in recommending, developing and implementing new processes and analysis.

Primary Goal: To maximize the GM’s efficiency by acting as the central hub for digital workflows and administrative operations.

Job Description

  • Works under moderate supervision to perform clerical activities.
  • Responds to moderately complex email and phone inquiries.
  • Assists lower-level staff in gathering, verifying and processing documentation.
  • Verifies data entry and monitors the maintenance of records.
  • Generates and suggests updates to reports prepared for management.
  • May assist in recommending, developing and implementing new processes and analysis.

1.Digital Workflow & Data Management

  • Information Filtering: Summarize daily factory health reports (CX weekly / monthly dashboard) so the GM focuses on critical data first.
  • Smart Tools: Drive AI-driven scheduling to distribute action items to production and support teams instantly.
  • System Support: Collaborate with others to pull quick status reports on high-priority orders or key programs.

2. Stakeholder Orchestration

  • Liaison: Serve as the main point of contact for key stakeholders including vendors, regulatory bodies, and internal functions.
  • Site Visit Coordination: Organize key factory tours for clients and investors, ensuring all safety protocols (PPE) and data security (NDAs) are followed.
  • Communication Bridge: Ensure smooth information flow between the Sales and Strategy office, Aftermarket, Engineering, PMO and Ops teams.

Executive Core Support:

  • Scheduling: Manage a calendar that balances factory floor time, deep-work sessions, and high-level meetings.
  • Logistics: Coordinate complex travel arrangements for strategic meetings, key initiatives, industry innovation events and exhibitions.
  • Financial Tracking: Monitor the departmental budget, specifically tracking operational expenses.

Candidate Profile

  • Tech Savvy: Comfortable with digital tools and manufacturing terminology.
  • Agility: Ability to pivot schedules quickly in a fast-paced production environment.
  • Confidentiality: Expert at managing sensitive intellectual property and prototype data.
  • Clarity: Skilled at turning raw data into clean, visual presentations for board meetings.

Minimum Requirements Diploma or Bachelor’s degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience.
