Position Summary:
The Project & Office Manager role in Poland, is pivotal for ensuring service delivery, and operational effectiveness of the Warsaw office. The key responsibilities encompass facility and office management, EHS management as well as administration management.
The Project & Office Manager role also provides administrative, logistical and operational support to senior leaders & teams in BMS Warsaw office.
Key Responsibilities:
Facility & Office Management:
- Maintains and oversees Warsaw office area and equipment to ensure workspace is functional in accordance with local regulations and Company’s general workplace defined standards
- Executes safety programs for BMS employees (regular safety training, all safety related activities, etc.)
- Performs maintenance and management tasks related to cleaning, waste disposal, plants, parking, catering and cafeteria, safety and security, fire regulations, office stationery and equipment, supplies and utilities
- Performs routine checks of facilities, scheduling repairs with vendors for proper maintenance of the office layout.
- Partners and efficiently connects with IT on solving all office-related equipment issues referring to: printers, AV equipment, etc.
- Collaborates with building owners, office and administrative vendors to ensure proper solving of any facility needs, monitors all related contracts and partners with Finance Lead to ensure appropriate contracts terms are in place.
- Manages all tasks related to fleet management, including but not limited to POs process for cars (newcomers, car change, etc).
- Performs day-to-day internal finance related operations for office and facilities suppliers: PO and contracts management process, balances reconciliations, invoices approval and payments, timely solves any recommendations, follow any local internal review of General and Administrative Expenses done by local business and control manager.
- Proactively designs and implements office procedures and systems and develop innovative and effective solutions to improve office operations
- Monitors all contracts & POs related to Facility & Warsaw Office.
- Organizes induction/exit programs for new employees for Facility & Office purpose
Managerial & Office Support:
- Performs administrative functions, like calendar management, organizing on site and remote meetings, travel arrangements, preparing T&E reports, creation of purchase orders, and requisition of supplies
- Supports managers and the team to navigate various administrative systems and databases in compliance with applicable procedures
- Supports managers in researching inquiries and tracking and interpreting data from various databases
- Supports managers and teams as needed for finalizing/formatting various presentations
- Provides expertise in the adoption of IT tools to facilitate learning and development initiatives and communications
- Builds and maintains Share Point, MS Teams Channels and other collaborative tools as needed.
- Supports co-ordination of employee onboarding, distribution of announcements, etc
- Coordinates large group meetings, i.e. Town-Halls, annual meetings, etc (logistics, venue)
- General office administration (stationery, mailings, email distribution lists, printing)
Senior Level Expectations:
- Engage with line management and/or other senior leaders to assist in the resolution of complex issues both locally and/or globally.
- Serve as a key resource for colleagues, by providing guidance, leading training and mentoring to other team members through a mentoring process using informal and/or formal presentations.
- May serve as an SME for systems of processes across the department +/- contribute at a global level to these systems or processes

Qualifications & Experience Requirements
Degree/Certification/Licensure:
Degree Requirements: Bachelor’s or master’s degree
Experience & Competencies:
- Office & administration management previous experience.
- Advanced project management skills.
- Experience in managing multiple priorities and ability to accomplish tasks within a timeframe, setting milestones to meet deadlines and achieving goals.
- Demonstrates ability to function independently.
- Strong interpersonal skills, with a demonstrated ability to act with discretion, confidentiality, and diplomacy in complex situations.
- General knowledge of software systems and web-based applications. Good computer aptitude and willingness to learn new systems and applications.

Compensation Overview:

- PL: zł157,250 - zł190,550
The starting compensation range(s) for this role are listed above for a full-time employee (FTE) basis. Additional incentive cash and stock opportunities (based on eligibility) may be available. The starting pay takes into account characteristics of the job, such as required skills, where the job is performed, the employee’s work schedule, job-related knowledge, and experience. The final compensation will be determined based on demonstrated experience and in accordance with pay equity principles and applicable employment laws.
