1. Main tasks and responsibilities (80%):

Works closely with Project Managers to coordination A-D samples from pre-order to invoicing phase:

• Order Placement: Collecting customer’s requirement to create and proceed order to Sample shops worldwide
• Order Status tracking: Collaborating with Sample Coordinator and Sample shops and Logistics to ensure On-Time Delivery of sample orders to customers; Timely updating of order information when changes (e.g. quantity, delivery date,..) occurs
• Documentation: Filling out customer documentation (e.g. delivery slip, quotation,..) based on customer’s existing template, relevant to the Sample Order Mangement Process
• Reporting: Maintaining master sample delivery plan for team on a regular basis and Creating relevant reports according to request from Project managers/ related stakeholders
• Escalation: Supporting Project managers with relevant information for internal order escalations (e.g. for shipment delay)
• Invoicing: Supports the Accounting departments with gathering information regarding sample orders for solving potential conflicts in the invoicing process ( e.g. get delivery proof, approved quotation from customer)

2. Other responsibilities (20%):

• Supports Team Leader with adminstration tasks:

• Creating monthly working hour tracking reports

• Maintaining internal team’s administrative documentations

• Entitled as full-time student major in Economics/Languages, ... during internship period

• No working experiences required, although students with dynamic experience in school/ social activities will have a big advantage

• Eloquent in English and Japanese(N3 or above)

• Proficient in MS Office (Excel, PowerPoint)

• SAP knowledge is a plus

• Ability to work under pressure and meet deadlines

• Good communication and coordination skills

• Patient and willing to learn

• Proactive in tackling problems and rasing ideas

• Can work independently

• Working hours: 9:00 AM to 6:00 PM (Monday to Friday)
