Work hard, have fun, and make history with AWS Public Policy. We are seeking a highly organized and innovative professional to support our Public Policy Asia Pacific and Japan team in a dual-capacity role combining executive assistance with program management.

This position will provide Executive Assistant (EA) support to directors on our team and program management support to the wider APJ team. He/she will work on a broad range of policy issues and programs throughout the Asia Pacific region. Our policy issues are broad, forward-thinking, and driven by what is best for our customers.

The 12-months contract position is based in Singapore and requires an individual who can thrive in a dynamic, fast-paced environment while balancing multiple priorities. This role demands both tactical execution and strategic thinking, with work that demonstrates the ability to impact leader priorities and organizational goals. Successful candidates are exceptionally organized, detail-oriented, proactive, and effective communicators who can seamlessly transition between executive support and strategic program management responsibilities.

Please note that this role is a 12-months fixed term contract (maternity cover).

Key job responsibilities

Executive Assistant Functions:

  • Provide high-level executive support to directors on our APJ Public Policy team, including complex calendar management, meeting coordination, expense reimbursement, and international travel arrangements. Additionally, he/she would be responsible for space management and logistics, offsites, all hands, and other event organization, and creation and management of team permissions and email lists.
  • Anticipate leader and organization's needs proactively, identifying issues and resolving them without being prompted
  • Manage confidential information with the highest level of discretion and maintain exceptional standards of professionalism and integrity
  • Coordinate internal and external communications on behalf of leadership, inferring and interpreting nuances from diverse stakeholders
  • Make strategic trade-offs balancing time, quality, and resources

Program Management Functions:

  • Drive accountability of team goals and manage internal reporting processes in collaboration with the Strategy, Operations, and Enablement team
  • Design and implement training programs to enhance team skills and capabilities
  • Research and deploy tools and technologies that improve collaboration and communication across the team
  • Oversee project management for policy initiatives that impact the organization and may impact multiple organizations, ensuring timely delivery within budget and scope
  • Act as a liaison between different sub-teams to ensure seamless communication and integration of initiatives
  • Establish and maintain relationships with key stakeholders to drive successful program outcomes
  • Provide regular updates and reports on the progress and impact of strategy, operations, and enablement programs
  • Monitor team workflows and optimize cross-team procedures, processes, and best practices
  • Drive the use of best practices across the organization

Basic Qualifications

  • Bachelor's degree
  • 5+ years of executive assistant experience
  • 5+ years of senior level leadership support experience
  • Experience with executive level calendar management
  • Experience with end-to-end project management
  • Experience working with large global teams
  • Experience with Microsoft Office products and applications
  • Experience working proactively and independently, meeting deadlines, and delivering on projects and tasks
  • Experience that includes strong analytical skills, attention to detail, and effective communication abilities

  • Experience designing processes to maximize efficiency
  • Can communicate effectively with all levels of the organization
  • Experience working independently with minimal supervision
